A signature that looks the same in every inbox

An email signature is the small block of details at the end of your messages: who you are, where you work and how to reach you. A tidy one makes a good impression and saves people from searching for your phone number. The difficulty is technical. Email programs are far more limited than web browsers and each one interprets HTML in its own way, so a signature made with modern web techniques can arrive scrambled. This generator builds the signature with the simple, table-based HTML and inline styles that email clients handle reliably.

  • Contact details: phone, mobile, email, website and postal address, as clickable links.
  • A photo or a logo, from a web address, with the photo round or square.

How to install it

Press Copy signature and paste it into the signature box in the settings of your email program: Settings then Signature in Gmail, Options then Signatures in Outlook, or Mail then Settings then Signatures on a Mac. If your browser cannot copy rich text directly, the signature is selected for you to copy by hand. The HTML code is also available if a program asks for it.

Tips for a signature that works

  • Host photos and logos at a public web address. Images embedded in the message often get blocked or shown as attachments.
  • Keep it short. Four or five lines is plenty, and long signatures repeated in a chain of replies get in the way.
  • Stick to a common font, since the reader sees the fonts installed on their own device.
  • Send yourself a test and open it on a phone, and in a dark mode if you can.

Limits

Some programs strip styles or block remote images until the reader allows them, so the look can differ slightly between them. This tool does not host your images and does not add tracking. Everything is built in your browser and nothing is uploaded.

How do I add an HTML signature to Gmail?
Create it here, press Copy signature, then paste it into Settings, See all settings, General, Signature in Gmail.
Will it work in Outlook?
Yes. It uses tables and inline styles, which Outlook handles well. Paste it in Options, Mail, Signatures.
Why is my photo not showing?
The image must be at a public web address. Addresses on your computer or behind a login cannot be loaded by the people who receive your emails.
Can I use my own fonts?
Only fonts that are installed on the reader's device are shown, so the generator offers common web-safe fonts.
Does the signature track who opens my emails?
No. It has no tracking of any kind.
Is my information uploaded?
No. The signature is created in your browser.
